A practical checklist for onboarding a training client
A new client should leave the first conversation knowing what happens next. Use a short, repeatable onboarding checklist in Fit2 to connect profile access, the first appointment and communication preferences.
Agree the practical basics first
Confirm the client's preferred name, contact channel, time zone and usual training location. Discuss the goal in their own words, previous training experience and the days they can realistically attend. Keep only information that you need for the coaching relationship.
- Confirm the date, time and place of the first session.
- Agree how schedule changes and questions should be sent.
- Explain when you normally reply and when the next review will happen.
Separate access from sharing
Before sending an invitation, check which client record it opens. Decide which notes are private and which instructions the client needs. An invitation to a coaching profile is not permission to make progress photos or measurements public. Walk through access together rather than assuming the client has understood it.
Give one clear next action
Send a compact welcome message with the first appointment, the agreed preparation and a way to ask for help. Avoid sending every template and historical document at once. The first useful check is whether the client can find the information for their next session.
Close the loop after the first week
Ask whether the schedule was realistic and the instructions were clear. Record any agreed changes and the next conversation date. A simple onboarding record can contain five fields: contact confirmed, first session agreed, access checked, communication rules shared and first review booked.
Questions, answered
Does every client need a long questionnaire?
Start with information that changes your decisions. A short operational checklist does not replace any professional assessment required for your coaching practice.
How do I invite a client and control access?
Profiles are private by default. A one-time dynamic QR code or invitation key grants access to the right profile, with visible sections selected by the coach. Sign in with a username and password, phone number, Google, Facebook or LinkedIn, and enable optional two-factor authentication.
